This article provides a deeper look at the key improvements delivered in Precursive 2.24. It is intended for customers, admins, and power users who want to understand what changed, how new capabilities work, and enablement guidance on how to successfully roll out these changes. Version 2.24 introduces a new By Project grouping in the Resource Plan, one-click copying of Planned Hours to Actual on the Timesheet, and control over which Task Milestones and Task Categories are shared with customers in External Sharing and the Customer Workspace.

Group by Project in the Resource Plan

Highlights

See Resources organised under each Project and Phase, so you can review delivery staffing in the context of a specific engagement.

What Changed

The Resource Plan now has a By Project grouping option alongside By Resource, By Role and By Team. It shows Phase rows as the primary grouping, with the Resources assigned to each Phase nested underneath, and it is the default view when the Resource Plan is embedded on a Project or Phase record page. Pagination has been reworked across all grouping modes with a Load more button.

How It Works

• Open the grouping dropdown at the top right of the Resource Plan and choose By Project.
• Each Phase row shows the Project and Phase name with the Phase date range.
• Expand a Phase to see the Resources assigned to it and their Bookings.
• Use the row actions to open the Phase or Project record, edit a Participant, or run Magic Assign (task-based Phases) or Reassign Bookings (booking-based Phases).
• By default only Phases with at least one assigned Resource that has a Booking are shown, and Archived Projects are excluded.

Enablement Guidance

No manual steps necessary. Row limits use the existing Resource Plan Performance setting (Rows to load, default 50).

Copy Planned Hours to Actual on the Timesheet

Highlights

Copy Planned Hours into Actual in one step, at whole-Timesheet, Line Item or Row level, removing manual re-entry where Actuals mirror the plan.

What Changed

The Timesheet has a new Copy Planned Hours to Actual action that copies Planned Hours into Actual Hours for any cell where Actual is currently empty or zero; existing Actual values are never overwritten. It is available at three levels: the whole Timesheet, a Line Item (a whole Participant/Phase), and an individual Row. The header toolbar copy options have also been renamed and grouped with a divider: First working day's hours is now Copy first day's hours across week, and Last week's projects and phases is now Copy Timesheet Lines from last week.

How It Works

1. Open a Timesheet in Planned status.
2. Open the copy dropdown and choose Copy Planned Hours to Actual - from the header toolbar for the whole Timesheet, or from a Line Item or Row dropdown to scope it.
3. A loading overlay appears, then a confirmation toast: "Planned Hours copied to Actual Hours successfully!". If there was nothing to copy you see "There are no Planned Hours to copy."

The Row and Line Item option appears only where that row has Planned Hours and Actuals are editable. On Timesheets that are not in Planned status the header copy icon is disabled and the row dropdowns are hidden.

No manual steps necessary. Available on Timesheets in Planned status only.

Share Task Milestones with customers

Highlights

A new Shared with Customer flag brings Task Milestones and Task Milestone Measures into the same External Sharing and Customer Workspace model as Projects, Phases, Tasks and Lists.

What Changed

Task Milestones and Task Milestone Measures now have a Shared with Customer checkbox (default off) controlling whether they appear in External Sharing and the Customer Workspace. A Task Milestone is shared externally only when its full parent chain (Project, Phase, List, Task) plus the Task Milestone and Task Milestone Measure are all marked as shared. The Task Milestone Timeline and Kanban respect this: unshared Task Milestones and their icons are hidden for external and Customer Workspace users, and the components render gracefully when access is missing.

How It Works

• On a Task Milestone or Task Milestone Measure, tick Shared with Customer to expose it externally. Its parent Project, Phase, List and Task must also be shared.
• Leaving it off hides the Task Milestone from Experience Cloud and suppresses its data there.
• Super and Standard users can read and edit the flag; Individual Contributor and Read-Only users can read it.

Enablement Guidance

Note: This manual step is applicable only in case you are willing to share Task Milestones on External Sharing, Customer Workspace or Partner/Contractor Workspace.

Step 1 - Required manual step on upgrade (admin, one-off). Task Milestone external access is not carried by the Precursive package, so after upgrading an admin must open up Task Milestone sharing once. Until this is done, Milestones will not appear in External Sharing or the Customer Workspace even when they are marked Shared with Customer.

• External Sharing: create a Sharing Rule for Task Milestone where Shared with Customer = true, or set the Milestone org-wide default (Setup > Sharing Settings) External Access to Read Only.
• Customer Workspace: set the Task Milestone org-wide default External Access to Read Only.
• Partner / Contractor Workspace: not affected - access is driven by Project Access Level.
• You only need to do this on Task Milestone. Task Milestone Measure inherits it through its Master-Detail parent, so no separate step is required. No further configuration is needed to limit access to shared records: the org-wide default plus the Shared with Customer flag is enough.

Step 2 - Preserving current behaviour. On upgrade, existing Task Milestones and Task Milestone Measures are set to Shared with Customer automatically, so once Step 1 is done your current External Sharing and Customer Workspace behaviour is preserved. If that automatic step does not run, an admin can run it from Precursive HQ > Critical Updates > Milestones and Milestone Measures Shared with Customer set.

Step 3 - Ongoing. Task Milestones created after the upgrade default to not shared and must be consciously set to Shared with Customer = true when you want customers to see them. To change what customers can see at any time, review and adjust the Task Milestones in Precursive HQ > Task Milestones.

Share Task Categories with customers

Highlights

The same Shared with Customer control now applies to Task Categories, so you decide which categories customers see.

What Changed

Task Categories now have a Shared with Customer checkbox (default off) controlling their visibility in External Sharing and the Customer Workspace, consistent with other Project objects. Org-wide default Task Categories (not tied to a Phase) are never shared; when copied into a new Phase they take the sharing values calculated from the Phase. Lack of Task Category access degrades gracefully: Tasks stay visible based on their own Shared with Customer flag.

How It Works

• On a Task Category, tick Shared with Customer to make it available externally, provided its parent Project and Phase are also shared.
• The supporting visibility values are calculated automatically from the parents and this flag.

Enablement Guidance

No separate manual sharing step is required for Task Categories. The manual org-wide default step described for Task Milestones applies to Task Milestones only; Task Category external access follows its parent Project and Phase.

On upgrade, existing Task Categories (including defaults) are set to Shared with Customer automatically so your current behaviour is preserved. To change what customers can see, review and adjust the Task Categories in Precursive HQ. If the automatic step does not run, an admin can run it from Precursive HQ > System Settings > Critical Updates > Task Categories Shared with Customer set. New Task Categories default to not shared.

Consistent Task access and read-only enforcement

Highlights

Users now only see the Task actions they can actually perform, with consistent read-only and access enforcement across Task Planner, Gantt, Kanban and the Task List, Record Page, Contributor and Participant components.

What Changed

Access enforcement across the Task components is now consistent. Where a user cannot edit a Task, edit interactions are blocked at the point of gesture across Task Planner, Gantt and Kanban - no drag, resize, reorder or inline edit begins, shown with a "ban" cursor and a tooltip explaining why ("You don't have edit access to this Task.", or for Parent Tasks "You can't reschedule this Task as its schedule is driven by its Subtasks."). Context-menu actions (Edit, Manage Contributors, Manage Dependencies, Log Time, Add Subtask, Delete) are hidden when the required access is missing. Field-Level Security is now respected on the Task List, Task Record Page, Contributor and Participant components: the Contributors column and the Manage Contributors and Manage Dependencies modals show a "You don't have access!" message when required access is missing, and the Contributor component is not shown when the user has no Contributor read access.

How It Works

• No action needed - behaviour follows the user's existing object permissions, Field-Level Security and Project Access Level shares.
• Previously a user could start an edit that was then rejected, or open a modal they had no access to; those entry points are now hidden or disabled up front.
• A background safety net still blocks invalid changes, but it is no longer the primary signal to the user.

Enablement Guidance

No manual steps necessary. Applies to internal and Customer Workspace users wherever these components appear.

What Else Changed

• Project Managers and Task Owners can now delete Project Tasks they do not own, based on their Project Access Level, including bulk delete on Kanban and Gantt.
• In My Precursive, the Add Row modal now shows tasks as selected or unselected correctly in the My Tasks list.
• Fixed an error in the Resource Plan Capacity Overview when switching between Week and Month while grouped by Roles.
• Large Task Template imports into Phases with many Participants no longer fail; access for existing Participants is applied in the background, with a toast confirming it.
• The Refresh button on the Task Milestone Timeline is now shown only to users who have access to the underlying Milestone Measure data.
• The Task Milestone Timeline and Card Header now adopt an Experience Cloud site's brand colours instead of fixed Precursive colours.
• Contact-based Participants now display fully for Customer Workspace users.
• In the Customer Workspace, a Parent Task whose sub-task is not shared no longer looks like a regular editable task.
• The dependency error shown when linking a Task to its own Parent Task or sub-task is now in plain language and names the two tasks involved.
